Hi everyone. I'm here with a quick how-to video on how to create a list in WhiteCup CRM. I'm logged in as an administrator, but anyone can create a list.
I'm using the Accounts module for this example, but this process works the same across other modules where lists can be created.
To begin, I click on New List and start filling out the required fields, beginning with a name. For this example, I’ll create a “Morning Phone Call List” to group together records I typically call each morning. I could also create a separate list for afternoon calls if needed.
I’ll leave the type set to Dynamic, which means records will automatically appear on the list when they meet the criteria and be removed when they no longer qualify.
I can also enter a description if needed to explain the purpose of the list.
The Assigned To field defaults to the creator—in this case, my user—but I can change this if I want someone else to manage and maintain the list moving forward.
Leaving the visibility set to Public allows anyone to view and use this list of records.
Next, I move down to the criteria section to define how records qualify for the list. I can create groups and then add individual criteria within those groups.
First, I’ll add a criterion to ensure records are active in ERP.
Then, I’ll add another group to define how records qualify for the morning call list. This group will use an AND condition, meaning the records must be active and meet additional criteria.
Within this second group, I’ll add two criteria. For example, records could qualify based on their state—either a single state or multiple states depending on your needs.
I’ll use a comparison that allows multiple possible values, similar to an “OR” condition within that field.
I’ll also adjust the group logic so that records qualify if they meet either condition. For instance, they could either be located in a specific state or have a specific tag.
This is useful if, for example, a record isn’t in the selected states but still qualifies based on something like an East Coast time zone tag.
This demonstrates how you can combine different criteria and logic types across groups to build flexible and powerful lists.
Once everything is set, I click Create. This pulls in all records that meet the criteria and that I have access to view.
Now my new list is ready to use. I can leverage it across CRM, such as in dashboard widgets, campaigns, or any other use case that requires a list of records.
