Hi everyone and welcome. Jim Barry here, Solution Specialist. Today I'm going to walk you through how to create a quote in WhiteCup CRM, from an opportunity all the way to generating and sending a professional quote to a customer using our embedded e-signature solution.
Without further ado, let's take a look. Here I am in WhiteCup CRM on an opportunity detail page.
From the opportunity page, we can generate a quote. I simply click on the New Quote button. This allows us to build a quote directly from the opportunity, reducing re-entry and ensuring consistency.
I can enter some basic quote details, specify a name, modify the default expiration date, and add the contact for this company.
I can also leverage a quote template. These templates can be created once and reused going forward. They can be organized by product type and include our company branding.
Next I can enter notes, but most importantly I can add products to the quote. I could add a custom product or search for products in our ERP system, like this fictitious South Hicks product. Here I can check availability, choose the item I want to add to the quote, update discount percentages, and enter shipping details.
I can also add additional products, such as a Milwaukee Tools product like this dual bay charger. Again I can update discount percentages, freight, and other details.
We also see that top related products are presented to us using AI. Based on the past purchase history of other customers and the line items in this quote, the system suggests additional products this customer may want to purchase. Similar to what Amazon does, I can quickly see recommended items and add them to the quote to cross-sell or upsell.
Now we have this quote record created in WhiteCup CRM.
I can take several actions, such as generating a PDF, sending it as a PDF attachment, or leveraging our proprietary e-signature solution to send the quote to the customer for signature.
We can use e-signature templates and specify the recipient. In this example, I’ll specify myself so I can quickly verify that the email arrives in my inbox.
There are also other envelope actions available, such as adding a document or editing the envelope. The next step is determining where on the document we want to place elements like signatures, initials, checkboxes, or radio buttons.
For example, I can place a signature box here and specify where the customer should sign.
Next we can use an email template or write a quick message of our own and send the document for e-signature.
The quote is now successfully sent. When I switch over to my email, I’ll see a new message prompting me to review the quote, add my signature, and complete the e-signature process.
There we go. I’ve finished signing the envelope as the customer. I’ll also receive an executed copy sent to my email address.
As a sales rep in the system, I can track the full history of that interaction directly within the CRM.
So that was a quick look at how quoting works in WhiteCup CRM. We went from an opportunity to a published quote with e-signature in just a few clicks.
This process helps teams move faster, quote more accurately, and close deals with confidence.
