Hi everyone and welcome to our quick how-to video on logging actions on a record in Whitecup CRM.
There are a couple of ways to log actions, but today we’ll review two best practices, starting from the dashboard.
I’m currently logged in as a sales representative, and I have my accounts displayed on a dashboard widget. There are several different widgets you can use for this.
After selecting the account where I want to log an action, I can open the More option at the top of the screen and choose the type of action I want to log.
In this example, we’re creating a task because we need someone to take action on this record.
After entering the subject and description, we should confirm the correct Assigned To user. By default, it may assign the task to the creator, depending on system setup.
In most cases that will be correct, but in this example I’ve assigned the task to John because I want him to reach out to the customer for a pricing review.
You can adjust the date or other task details as needed before saving.
Once saved, the task will appear on John’s task list so he can take action.
Another way to log an action is directly from within the record itself.
After opening the record, use the Activity Logging pane in the upper right corner.
From here, you can log different types of activities based on the tab you select.
In this example, we’ll log a call, which can represent a phone call or even an in-person visit with the customer.
This activity should typically be logged directly on the account or contact record.
You can select a call type from the dropdown or enter notes describing what was discussed.
Then update the date and time as needed and save the activity.
After saving, the activity will appear in the Action History section within the activity pane.
If the Relationships mode is enabled, you’ll also see activities logged on related records.
When the toggle is bold, relationships mode is on. Turning it off will show only the activities logged on the specific record you’re viewing.
And that’s how you can log actions from a dashboard widget or directly from the activity pane on a record.
