eSignatures
eSignatures allows you to send documents for customers to sign through email avoiding the hassle of sending documents through mail or fax.
To send an eSignature document:
- Under Actions, select Sign Send.
- The next step is to upload the PDF template you wish to send. Click Select file to search for the template, or drag and drop an existing PDF into the box on the screen.
- Select Next. On the Sender screen, do the following:
- If your document requires multiple signers and you wish to require a specific order of signatures, select the Order Signatures checkbox. This enables an additional field called Order. Enter the numeric order in the field (1=first, 2=second, etc.)
- Within the Recipients box, select the Set Myself As Signer checkbox to require yourself to be a signatory.
- Select Set Recipient as Viewer to...
- Enter in the recipient's first name, last name and email address in their respective fields.
- You can also use existing contacts within WCCRM by selecting Search for Pre-existing Records.
- To add additional recipients of the document, select Add Recipient.
- If your document requires multiple signers and you wish to require a specific order of signatures, select the Order Signatures checkbox. This enables an additional field called Order. Enter the numeric order in the field (1=first, 2=second, etc.)
- When finished adding your recipients, select Next. The template configuration screen opens. Here you can add several pre-defined fields to your uploaded document such as:
- Signature box
- Initial box
- Formula
- Checkbox
- Yes/No
- Radio Button
- Text
- Name
- Title
- Date
- Clicking a field adds it to the template. You can then drag the field to the desired location within the document.
- If there are multiple signers for the document, they will have a unique color assigned to them. For example, John may have light blue associated to them, and Mary may have light purple. John must complete all fields that are light blue, and Mary must complete all fields that are light purple.
- When finished, click Next. The Review and Send screen appears. From here you can enter in the email subject and body prior to sending. You can also set an expiration on the document by typing a value in the Days before envelope expires field.
- When finished, click Send. A success message appears indicating the email was sent successfully. Once the email is opened by the contact, notifications appear for the assigned user.
