Hi everyone and welcome to our video for A Day in the Life of Whitecup CRM.
This video provides an overview of the foundational uses of CRM, with a few pieces of BI and the mobile app mentioned. Be sure to check out the information on BI and the mobile app directly on our help site.
I'm logged in today as one of our sales reps, William, so we're looking at the dashboard for his salesperson role. We're here on the CRM desktop version to represent the beginning of our day, where we might review information before heading out to visit accounts, or at the end of the day when we log back in to complete recaps.
On the salesperson dashboard, key widgets include the Account Summary in the top right, My Tasks above that, and the Opportunity Summary. These summary widgets highlight key records to monitor in CRM and allow you to open records to make updates or review more details.
The My Tasks summary shows action items assigned to you, including upcoming or overdue tasks. You can change the filter to view different task lists, and the widget title will update to reflect the selected view. Clicking hyperlinks within widgets allows you to jump directly into accounts or records. You can also select records within a widget to take action or update multiple records at once without opening each individually.
Scrolling down, you may see a Late Orders widget. Selecting View Full Report opens related BI data, where you can drill down into additional details such as products and account information. This allows you to proactively plan outreach, offer alternatives, or address delays.
From within a CRM record, you can use the activity logging pane in the top right to add comments or tasks and assign them to the appropriate team member. When creating a task from the Task tab, it defaults to the creator but can easily be reassigned before saving. Saved actions appear in the Action History pane.
The Relationships view displays related records with activity. The Relationships widget allows you to attach existing records or create new ones, such as opportunities or contacts, directly from the account. New records can also be created from their respective modules and linked back to the account.
You may see different relationship widgets, such as related ship-to customers or related opportunities. Additional widgets can be added using the Add Widget option in the top right of the record. Newly added widgets appear at the bottom of the page but can be rearranged as needed.
At the top of the account record, the Account Summary icon provides a quick overview of recent activity, items needing attention, and next steps. This same summary is accessible in the mobile app, allowing you to review important information before or during customer visits.
The Scorecard option opens BI data related to the account, providing analysis of sales, invoicing, products, and more. You can drill down for additional detail. The Scorecard is available with Whitecup BI and is also accessible through the mobile app.
Returning to the home dashboard using the Whitecup logo, you’ll see additional widgets such as Customers with Overdue Balances. These provide quick visibility into accounts that may require follow-up, especially those impacting commissions.
The navigation bar across the top allows access to specific modules, custom lists, quotes, opportunities, tasks, inbox, or calendar (if integrated). This ensures all relevant information is accessible directly within CRM.
Before heading out, you may want to update opportunities. Clicking an opportunity from the Opportunity Summary widget opens the record for edits or notes. A common update is adjusting the sales stage, which may be tied to a CRM process configured by your admin team.
Processes provide visibility into where records sit within a sales pipeline. You can access processes from the Toolbox menu and view them in pipeline or funnel format, both displaying record counts and stage information. From there, you can take necessary actions and collaborate with your admin team to refine processes as needed.
Back on the home screen, the Activity Feed displays company-wide updates, similar to a bulletin board. This helps teams stay informed and connected. You can click hyperlinks within the feed to access records you have permission to view.
Once you're ready to visit customers, use the mobile app to access account details and BI information on the go. Take advantage of AI Field Notes to record or dictate meeting details, which will populate the CRM record with transcripts and action items, improving efficiency and communication throughout your day.
