Enhancements to the Tour de Force Mailbox Sync Utility in v5.2 of Tour de Force
In v5.2 of Tour de Force, several enhancements have been added to the Tour de Force Mailbox Sync utility to help users keep the Contact records in Microsoft Outlook synchronized with the Contact records associated with Tour de Force.
- The Match Process
The Match Process in v5.2 of Tour de Force allows users to scan the Contact records associated with Tour de Force in order to find potential matches based on criteria or Match Options such as the Email, the Full Name, or the Mobile Phone fields. Contact records in Microsoft Outlook that have one potential match to a Contact record associated with Tour de Force can be reviewed and linked simultaneously.
The Match Process is designed to help users link Contact records in Microsoft Outlook to the Contact records associated with Tour de Force more effectively. Prior to v5.2 of Tour de Force, users had to link Contact records in Microsoft Outlook to the Contact records associated with Tour de Force one at a time.
When the Match Process determines that more than one potential match to a Contact record associated with Tour de Force exists, users can view and select the appropriate Contact record to associate with the Contact record in Microsoft Outlook.
- The Exchange Sync Settings window
An Exchange Synchronization Service has been added to v5.2 of Tour de Force that is designed to help keep the Contact records in Tour de Force synchronized with the Contact records in Microsoft Outlook of users more efficiently. The Exchange Synchronization Service associated with Tour de Force is also designed to help keep the Appointment and Task items in Tour de Force synchronized with the Appointment and Task items in Microsoft Outlook of users more effectively.
The Exchange Sync Settings window associated with the Tour de Force Mailbox Sync utility allows users to set up filters to automatically create the Contact records in Microsoft Outlook when Contact records are added in Tour de Force. These filters can be based on Account Packages, as well as based on fields associated with the Account and Contact forms related to Tour de Force.
- The adding of multiple Contact records to an Existing Account record simultaneously
In previous versions of Tour de Force, the Tour de Force Mailbox Sync utility allowed users to use the information associated with the Contact records in Microsoft Outlook to create Contact records in Tour de Force.
When multiple Contact records associated with Microsoft Outlook needed to be created and added to an Account record in Tour de Force, there was no method for processing multiple Contact records simultaneously. Although using the Tour de Force Mailbox Sync utility to create new Contact records in Tour de Force based on the information associated with the Contact records in Microsoft Outlook eliminated the task of entering the Contact information in two separate programs, only one Contact record associated with Microsoft Outlook could be processed and created in Tour de Force one at a time.
In v5.2 of Tour de Force, the Tour de Force Mailbox Sync utility allows users to select multiple Contact records associated with Microsoft Outlook and then create the related Contact records in Tour de Force simultaneously using the Add Contact(s) to Existing TDF Account related to the Quick Events menu.
- The creation of a new Account and the adding of multiple Contact records to the new Account record simultaneously
In previous versions of Tour de Force, the Tour de Force Mailbox Sync utility allowed users to create a new Account record and a new Contact record in Tour de Force in one step using the information associated with the Contact records in Microsoft Outlook.
When an Account record and multiple Contact records associated with Microsoft Outlook needed to be created in Tour de Force, there was no method for processing these Contact records simultaneously. Although using the Tour de Force Mailbox Sync utility to create the new Account and new Contact records in Tour de Force based on the Contact records in Microsoft Outlook eliminated the task of entering the Account and the Contact information in two separate programs, only one Contact record associated with Microsoft Outlook could be processed and created in Tour de Force one at a time.

Note: The fields or criteria associated with the Match Options are mutually exclusive. The Match Process utility can be based on the Email Address 1 field or the Mobile Phone field, not the combination of the Email Address 1 field and the Mobile Phone field.
-

Note: The goal of the Tour de Force Mailbox Sync window is to be blank or to have no Contact records associated with Microsoft Outlook display when the New Items field is checked.
- Once the Match Process is complete, process the Contact records according to the color related to the Contact records.
Three colors or options exist for the Contact records associated with the Match Process:
- Green
When the row associated with the Contact record in Microsoft Outlook is Green, then only one Contact record exists in Tour de Force that meets the criteria set in the Match Options window for that Contact record.
Note: The Match Count field displays a number 1 when only one Contact record exists in Tour de Force that meets the criteria set in the Match Options window for that Contact record.
For example, the Contact records of Paul Tramo, Joe Holmes, Tom Richards, and Mike Benoit, have only one potential match in Tour de Force.
To generate the Match Process utility for multiple Contact records simultaneously, check the Process field associated with each Contact record related to Microsoft Outlook and then click the Process button.
Note: Once the Microsoft Outlook Contact record is linked to the Tour de Force Contact record, the row associated with that Contact record is removed from the Tour de force Mailbox Sync window if the New Items field is checked and the Tour de Force Items field is not checked.
To generate the Match Process utility for only one Contact record related to Microsoft Outlook, check the Match field associated with each Contact record.
For example, to process the Match Process utility for the Contact record of Douglas Hyman, click the Match field associated with that row.
Note: Once the Microsoft Outlook Contact record is linked to the Tour de Force Contact record, the row associated with that Contact record is removed from the Tour de force Mailbox Sync window if the New Items field is checked and the Tour de Force Items field is not checked.

During the Match Process, one of the fields that Tour de Force updates is the TDF GUID field in Microsoft Outlook. The TDF GUID field in Microsoft Outlook is the field that links the Contact record in Microsoft Outlook to the Contact record in Tour de Force.
Note: The TDF GUID field is blank when a Contact record in Microsoft Outlook is not linked to a Contact record in Tour de Force. Contact records that are set to Private do not have a value in the TDF GUID field.
- Yellow
When the row associated with the Contact record in Microsoft Outlook is Yellow, then more than one Contact record exists in Tour de Force that meets the criteria set in the Match Options window for that Contact record.
Note: The Match Count field displays a number greater than 1 when more than one Contact record exists in Tour de Force that meets the criteria set in the Match Options window for that Contact record.
For example, the Contact record of Jim Gehring has more than one potential match in Tour de Force because the Match Count field is 2.
Click the Match field (Click to Select Match) to view the Contact records associated with Tour de Force that are potentially a match for the Contact record in Microsoft Outlook.
Select the appropriate Contact record associated with Tour de Force to link to the Contact record in Microsoft Outlook.
