Purpose
The purpose of this technical bulletin is to provide instructions on the Job Manager utility associated with Tour de Force. This document helps users understand the Job Manager utility, learn how to access the Job Manager utility, and learn how to use the Job Manager utility.

Overview of the Job Manager Utility
The Job Manager utility is designed to give users the ability to process or run jobs to perform specific actions or functions in Tour de Force. Users also have the ability to schedule how often jobs process.
Currently, the only process or job available in the Job Manager utility is the Scan for Logged Message process associated with the Mailbox Janitor utility.
In v4.1 of Platinum, three new processes or jobs are available in the Job Manager utility:
- Sync New Contacts
- Sync TDF Tasks
- Sync TDF Appointments
The Mailbox Janitor utility runs as an executable on the workstation. The name of the executable is TDF.Job.exe.

The Scan for Logged Messages Process
The Scan for Logged Messages process allows users to scan all the Email Messages in the Microsoft Outlook Inbox and Sent folders to quickly identify the Email Messages that have been logged in Tour de Force, as well as to identify the Email Messages that have not been logged in Tour de Force.
The Categories field associated with Microsoft Outlook is set to Logged in TDF for all Email Messages that are logged in Tour de Force. Email Messages that are automatically logged in Tour de Force by the Email Logging Service, as well as the Email Messages that are manually linked by users to one of the Record Types associated with Tour de Force are updated.
The value of being able to quickly identify whether an Email Message has been logged in Tour de Force is twofold.
- Inbox Maintenance
When users can visually see that an Email Message is logged in Tour de Force, users are more comfortable that the Email Message can be located in Tour de Force if needed. This feature allows users to minimize the size of their Inbox because Email Messages can be deleted when appropriate. Also, the need for subfolders related to Customers and Vendors under the Inbox is no longer needed because these Email Messages are logged in Tour de Force.
- Contact Management
When users can visually see that an Email Message is not logged in Tour de Force, users know one of two issues exists:
- The Contact record associated with the Email Message is not in Tour de Force.
- The Contact record associated with the Email Message is in Tour de Force. However, the Email Address associated with the Email Message does not match one of the Email Address fields related to the Contact record.
Scanning for Email Messages that are logged in Tour de Force is an optional process and is not a required process in the Job Manager utility.
Note: The Mailbox Janitor utility can also be used to scan the Microsoft Outlook Inbox and Sent folders for Email Messages that have been logged in Tour de Force and to set the Categories field associated with Email Messages in Microsoft Outlook to Logged in TDF. Refer to Technical Bulletin 4301 – The Mailbox Janitor Utility for more information related to the Mailbox Janitor utility.
- Accessing the Job Manager Utility
Use the following procedures to access the Job Manager utility associated with Tour de Force:
- From the Tour de Force menu, select Client Utilities.
- From the Client Utilities menu option, select Tour de Force Job Manager.
- Working With The Job Manager Utility
When the Job Manager utility associated with Tour de Force is accessed, the Run Jobs tab displays. The first time that the Job Manager utility is accessed, the No Jobs are enabled. Click the “Available Jobs” tab, and then enable a job to run message displays.
Two tabs are associated with the Job Manager utility of Tour de Force.
- Run Jobs – This tab is used to start jobs manually.
- Available Jobs – This tab is used to enable and disable jobs for processing.
Use the following procedures to enable a job for processing in the Job Manager utility:
- Access the Job Manager utility.
- Click the Available Jobs tab.
- Check the Enabled field for the appropriate job.
For example, check the Enabled field associated with the Sync New Contacts Job Name.
Note: Checking the Enable field associated with a job makes the Job Name available on the Run Jobs tab.
- In the Interval (Seconds) field, type a value to associate with the amount of time between processing of the job.
For example, to have the Sync New Contacts Job Name process every 10 minutes, type 600 in the Interval (seconds) field.
Use the following procedures to process a job manually in the Job Manager utility:
- Access the Job Manager utility.
- Verify that the Run Jobs tab displays.
- Select the appropriate job and then click the Run Jobs button.
- Click the Stop button to stop the processing of a job.
- Click the Run on Windows Start-up field to have the Job Manager utility start when Windows starts.

Stopping the Job Manager Utility
When the Tour de Force Job Manager window is closed, the Job Manager utility stops processing Enabled and jobs that are Started.
Use the following procedures to close the Job Manager utility:
- Click the X in the upper right hand corner of the Tour de Force Job Manager window.
- Click the Yes button to close the Please Confirm window.
