Transfer Accounts Overview: The transfer accounts feature is used to transfer open call backs, activities, opportunities, Lease Tracker leases and Order Processing orders from one user to another. It is most commonly used when a user leaves the company and their activities need to be reassigned. It can also be used when territory reassignments are being made. It also changes the name of the assigned rep on the account from the inactive to the active rep.
To Use:
- Select the name of the inactive rep from the drop-down menu under Inactive Rep and new rep name from the Active Rep drop down.
- You will see a list of accounts currently assigned to the inactive user on the right. Accounts that are currently also assigned to the active rep will not show, as these accounts are already available to be seen by them. Choose the accounts to have transferred by clicking the check box next to the account name. Or, use the Check All Visible option to check all accounts in the grid (regardless of grouping).
- To search through the account results, use the Find button and enter the name of the company name; this will do a 'Contains' search and show results for any records that contain what you enter. You can also do an 'Exact' search by using quotation marks (") on either side of your entry to do a search exactly what you enter in.
- To group accounts click the Grouping button and click and drag the column you want to group by to the blue space above the columns to show a grouping of results. To just choose the accounts in a particular grouping, right click on the group and choose Check All in Selected Group
- Choose what information you want transferred from the inactive user to the active user. You can choose Open Activities, Opportunities, Lease Tracker leases (both Active and Inactive) and Order Processing orders. Note: Lease Tracker and Order Processing are additional modules. If you have not purchased these modules or are not using them, having these options selected will not do anything. Also, Transferring Order Processing orders will only transfer orders in the Orders Queue, not orders that have already begun being processed through the stages. Also, Lease Tracker Leases will only transfer active leases. Inactive leases will stay with the original assigned rep.
When selecting to transfer Opportunities that have teams associated with them, once you check the Opportunity Box, a Teams Box will populate, check it as well, then when you choose Transfer a pop-up box will ask what team you would like to assign the Opportunities to. Choose a Team and hit OK.
Choose what types of accounts you want transferred from the inactive user to the active user. You can choose from named accounts only, accounts based on the inactive users territory, or both. If you would like the system to automatically remove the current territory from the inactive reps in the Manage Users section and transfer it to the new user check the "Remove Territories" check box. If this is not checked, the territory will remain in both users territories. Note: When using the "Remove Territories" option, only if both users have the same territory type will the territories transfer. If they have different territory types, the territory from the inactive user will be removed only.
- If the inactive user had a territory assignment, choose the options from the territory type to have transferred.
- The activities, opportunities, leases and orders that will be transferred into the new active user's name will be listed at the bottom for reference.
- Click the Transfer button.
Helpful Tips:
- If you are replacing the inactive rep, you must transfer the information first before completely deleting the inactive user from the Manage Users section. If you delete the inactive user first, their name will not appear in the drop-down list for you to select from, and the zip codes consequently will not appear either.
- If you do delete the inactive user before transferring the information, you will not lose the information, but you will have to transfer it manually to the new user.
- If you are changing territories, use the transfer accounts first before changing the zip code assignments in the Manage Users section.
