Account Approval Customization
Account Approval Overview:
The Account Approval feature allows accounts added by specific users to be placed in a "holding bin" until an authorized user approves the addition of the account to the database, and in turn the account can be accessed by the user who initially added it. There is no cost to have this Customization activated, however it must be "turned on" by Compass Support as it is not a standard feature of the Sherpa product. This feature also cannot be activated in the Analyzer (No CRM) version of Compass Sherpa.
Admin Set-Up:
Before this feature can be used, it must be activated by Compass Support. An Administrator must also give approval in Manage Users to any user who can approve accounts to be added, as well as any users you can be allowed to by-pass the feature and add accounts without the approval process

In the Admin Control Panel under Manage Users and Add/Edit Users, you will choose each user and determine what access they will have to the feature. In the General tab under each user, you have two check boxes to choose from:
No Account Approval Needed - if checked, any accounts this user adds will automatically be added and not fall into the Holding Bin.
Can Approve Accounts - if checked, the user has access to approve accounts that have been added by users that don't have the 1st check box checked.
Adding / Approving Accounts:
When a user adds an account using the Add Account button in the Accounts tab, they will receive the following message when they click the Submit button. If they were not given the access in Manage Users for "No Acct Approval Needed", the account will be placed in an area for anyone with the "Can Approve Accounts" checked.
To access a list of accounts that have been submitted, and approve or deny them, go to the Account Tools drop down on the top tool bar of the Accounts tab.
If given access to "Can Approve Accounts" in Manage Users, you will see an "Account Approval" option. All users will see the "View Approved Accounts" option for any accounts they have been approved for them. You will also receive a notification in your Sherpa Tray when you log in if there are accounts waiting to be approved (if you are authorized to approve) and if any requests have been fulfilled (if you have requested account to be added). The users authorized to approve accounts will receive the pop-up notification 10 seconds after they log in, and every hour after that, assuming they are logged into Sherpa.
Account Approval:
Under Account Approval you will see a list of accounts that has been added and are awaiting approval.
- To see who input the new account expand by clicking on the + button. You can also see Contacts that are within that account.
- To Approve or Deny the account being added, click the drop down and choose Approve or Deny. To do nothing and leave the account in the holding bin, choose None.
- Click submit, and then the X in the corner to close the screen.
Batch Edit: You can choose multiple accounts at once to assign to a specific named rep or region by using the Batch Edit button. Use the check boxes next to the account name to choose all the accounts to want to assign to the user. You can also use the Check All button to select all, Uncheck All to deselect all, or if you use the Check All option, you can individually uncheck accounts by un-checking the box. Once you have selected the accounts, click the Batch Edit button.
To add to a named rep, check the Primary Rep check box and choose the rep from the dropdown you want to assign the account to
If you have multiple regions, and you want to assign them to a specific region, check the Region check box and choose the region name from the dropdown.
If the Rep you choose to name it too is outside of the Region you choose, the Rep will still have access to the account as the assigned Rep.
Click the OK button. Choose whether you were to make the accounts as Approve, Deny, or None.
Click OK and the accounts will be named to the chosen rep, or denied, or changed to None. Cancel will close the window and discard the request.
Approve All Accounts: To simply approve all accounts that have been imported, click the Approve all Accounts button instead of doing a Batch Edit or individually approving or denying accounts.
It will change the status on all accounts in the list to Approved, and when you click the Submit button, they will be assigned to whoever imported the accounts.
Dupe Acct Search: To search through the database for accounts to see if an account already exists (so not to create a duplicate on the import), click the Dupe Acct Search button. You will be able to then search by Name, Address, Phone, Equipment ID and Contact name. Enter the keyword and click the Search button.
Viewing Approved Accounts:
Under View Approved Accounts you will see a list of accounts that have been approved or denied.
- Choose a date rage and click the Filter button
- You can also see who requested the account by double clicking on the account.
