General Overview: The Bulk Naming Tool allows an Administrator to select multiple accounts in the database and assign, or “name” them to a specific Rep, or remove a Named Rep. To get to the Bulk Naming Tool go to “Administration” on the Main Menu Bar and Select Bulk Naming Tool in the list.
Naming Accounts in Bulk: First, choose how you want to filter through the accounts to get the list of accounts to name. After the selection is made you will receive a Displayed Record Count. Click on the Filter Dropdown menu and choose from Account Name, SIC Code, City, County, Parent Account Name (which will then allow you to included to name the Child Accounts), Postal Code, Region, Sales Rep, State, Account Classification or Vertical Marketing check box. Once you choose how you want to filter, you can either choose from the dropdown list in the field to the right, or type in what you would like to search for, then click on the Filter button. You can also customize your grid to your reading layout. Simply drag and drop the columns once you have them in place ensure that you are saving the Grid Layout, then when log in again it will be saved.
If you filter by Sales Rep, this will only bring in the Named Accounts for that Rep. You will now have a list of Companies that match the criteria you entered and can choose the accounts you wish to change by selecting the checkbox next to the account. You can also use the Check All and Uncheck All buttons below the account names.
Once you have selected the accounts you want work with, you will select the User’s name from the drop-down list next to Sales Rep that you want to assign the accounts to.
Then, next to Option, choose whether you want to Replace the Primary Rep, Add the Rep as a Secondary Rep, Make the new Rep the Primary Rep and keep the previous rep on the account, or Remove the Rep (removing the rep will send the account to the territory rep if no other rep is named to the account). You can click on the “?” button for more details on each option. Removing a rep is not an option.
If using the “Replace Primary” option you will need to also choose if you want the Activities (only the open ones), Opportunities (only the open ones) and/or Processed Orders (in Order Processing) and Active Leases (in Lease Tracker) on the account to be reassigned to this new rep as well. Note that inactive leases will stay with the original Rep.
Click on Re Assign to reassign the accounts, or Close to exit the Bulk Naming Tool.
When choosing to add a new rep or remove a rep from accounts in bulk, it will now create an automatic system generated activity called Adding New Rep or Removing Rep
When selecting to transfer Opportunities that have teams associated with them, once you check the Opportunity Box, a Teams Box will populate, check it as well, then when you choose to Reassign a pop up box will ask what team you would like to assign that to.
Using the Parent and Child Filters to name accounts
Within the Filter option choose “ParentAcctName” enter your search criteria and hit Filter or leave search blank and hit Filter to reflect all Parent Accounts in Sherpa.
You will get a list of accounts appearing in the grid. You can then expand on the Account to view and Chlid Accounts associated with the Parent Account. Check the Account(s) you want to reassign and choose the + Children account option at the bottom if you want to reassign the child accounts also. Select your Sales Rep your assignment option and then Re Assign.
