General Overview
The Asset Strategy tab allows you to allocate volume from the Current TCO Equipment to the Proposed Solution. You can account for both over and under-utilized machines and choose to propose new machines as part of your Proposed Solution or migrate volume from one machine to another. You can also propose location changes and run a variety of reports. This is not a mandatory step in creating a proposed solution in Compass but can be very helpful especially when migrating volume.
To get started, click on the Asset Strategy Tab. All your Equipment and its information from the TCO tab will automatically transfer into Asset Strategy. Current equipment that you want to work with in this area must be entered in to the TCO tab first.
Current TCO Equipment Section
Column Headings
Select Model: The Make/Model of the machine. Place a check in the check box next to the model to select it before you keep, replace or reassign the volume as part of your proposed solution.
Mapped: When the equipment first appears in the Asset Strategy, the Mapped column will say ‘no’ on each machine. As you decide whether to keep the machine as part of your solution, replace it or reassign the volume to a different machine, the ‘no’ will turn into a ‘yes’ and the font will change to green indicating that the machine and volume has been accounted for as part of the proposed solution.
Replaced: Will say no if you decided to keep the machine as part of your proposed solution.Will change to say yes if you either reassigned the volume or replaced the machine all together and its no longer part of your proposed solution.
Authorized: A yes indicates that your service department services that make/model of machine and you may take it over on a service and supply contract, or "keep" it as part of your solution. A no indicates that your service department will not or does not service that make/model, or, there is no pricing available for that equipment. If there is a ‘no’ in this column for a machine, it is typically a machine that you will want to reassign the volume to a different machine or replace it entirely as part of your proposed solution. If it is a “no” for a machine that your Company does service, please refer to your local Compass Administrator for correction.
Age: The age of the machine in years as indicated in TCO.
Mono Volume: The AVG monthly BW volume for that machine as indicated in TCO.
Color Volume: The AVG monthly Color volume for that machine.
Mono CPP: The black cost per page for that machine as indicated in TCO.
Color CPP: The color cost per page for that machine as indicated in TCO.
Mono Overage Rate: The black overage rate for that machine as indicated in TCO.
Color Overage Rate: The color overage rate for that machine as indicated in TCO.
Serial #: The serial number for that machine as indicated in TCO.
Location: The location of that machine as indicated in the TCO.
Department: The Department of that machine as indicated in the TCO.
IP Address: The IP address of that machine as indicated in the TCO.
Actions:
Keep: You would choose to keep a piece of equipment if you want to take it over on a service and supply contract and price it out in the Printer Pricer area. If you wish to keep a current piece of equipment as part of your proposed solution first place a check in the selection box to the left of the model number, then click on the ‘keep’ button. This will move the machine to the bottom of the Current TCO Equipment list, turn the text to green and change the ‘mapped’ field to a ‘yes’, and it will also transfer the machine and its corresponding volume down into the Proposed Solution area.
Replace: If you wish to replace a machine by selling a new piece of hardware or consolidate multiple machine into a new piece of hardware, place a check in the selection box to the left of the model number and click on the ‘Replace” button. The following box will appear, and you will be asked to select the machine to replace it with, new location and Department, and IP address. Choose the new machine you want to sell from the dropdown by highlighting it, and you can also choose the location, department and IP address from the dropdown, free type in those fields, or leave them blank.
Typing in the blank areas above each column will also allow you to filter the column down by the start of the field entry. Click on the Submit button and your new machine will be moved to the bottom of the Current TCO Equipment list and change the ‘mapped’ and 'replaced' fields to a ‘yes’, and it will also add it to the Proposed Solution area with the appropriate volume.
Reassign: If you wish to migrate, or reassign, the volume on a particular machine or a group of machines to any machine on the Proposed Solution list, place a check in the selection box to the left of the model number under Current TCO Equipment, then click on the selection box for the machine you wish to reassign the volume to under the Proposed Solution list, and then click the Re-Assign button. This will change the mapped status on the machine from a ‘No’ to a ‘Yes’ and add the volume to the machine you chose at the bottom.
Check All: Will select all machines by placing a check in the selection box of all the equipment under Current TCO Equipment.
Uncheck All: Will deselect any machines that have been selected under Current TCO Equipment and uncheck the selection boxes.
Reset: This will undo anything you have done in the Asset Strategy tab and will reload all machines from the TCO tab. Use this if you make changes in TCO and want it reflected in Asset Strategy, or, if you want to undo everything and start over.
Visual: The Visual option allows an alternate way of mapping your devices by using a click and drag method and viewing the current situation and proposed solution side by side.
You will see the Current Situation on the left and the Proposed Solution on the right; equipment in a red font means it is "unauthorized". You can also see device details by selecting the "Show Device Details" check box on the bottom left of the form to view specific information listed in the TCO. Or hide the Device Details by unchecking the box.
To keep devices, place a check in the selection box next to the model name or the machines you want to keep, and select the "keep" radial button. You can now click on any of the machines and drag it to the right side of the screen to place it under the Proposed Solution.
To replace devices, place a check in the selection box next to the model name of a machine you want to replace, and select the "replace" radial button. You can now choose the new model you want to sell from the dropdown menu. Click and drag the model from the Current Situation on the left to the Proposed Solution on the right. You can only replace one machine at a time in the area, so if you want to consolidate multiple machines into one new machine you will have to reassign the other equipment after you replace the first one. If you select multiple machines on the left and choose the replace option, each machine you choose will be replaced with a new device.
To reassign volume, click on the machine under Current Situation on the left and drag it to the machine you want to assign the volume to on the right under Proposed Solution.
Click on the Save and Close button on the bottom right of the form to save your changes and it will transfer to the main Asset Strategy screen.
Proposed Solution Section
Column Headings
Model: Shows the Make/Model of the machine as part of the Proposed Solution. Also provides a check box that allows you to select which machine under the Proposed Solution list you will be reassigning volume to, from the model(s) under the Current TCO Equipment list when choosing the Reassign option, or, undoing an action using the Remove Mapping option.
Location: This field reflects the original location of a machine as listed in TCO if it was kept as part of the existing fleet. If this was a replaced machine it will show the new location, you entered when you chose the new model. Or, if you used the Edit Volume and Location option the updated location will be listed here.
Department: This field reflects the original department of a machine as listed in TCO if it was kept as part of the existing fleet. If this was a replaced machine it will show the new department you entered when you chose the new model. Or, if you used the Edit Volume and Location option the updated department will be listed here.
Type: Will either say ‘existing’ or ‘new’. Existing means that the machine is already located/in use by the account, and you used the "keep" option. New means that it’s a new model that you are proposing to replace current equipment.
Mono Volume: This is the customers current mono volume from TCO. There will only be a volume here if the machine was selected as ‘Keep’ from the Current TCO Equipment section and mapped as part of the Proposed Solution. If the machine is a new model, there will be a zero in this field.
Color Volume: This is the customers current color volume from TCO. There will only be a volume here if the machine was selected as ‘Keep’ from the Current TCO Equipment section and mapped as part of the Proposed Solution. If the machine is a new model, there will be a zero in this field.
Added Vol: This is the amount of mono volume added to the device by using the "Vol & Location" option
Added Color: This is the amount of color volume added to the device by using the "Vol & Location" option
Proposed Vol: This reflects the final Black/White proposed volume to be run on that machine. This volume reflects the original volume plus any reassigned or added volume.
Proposed CLR: This reflects the final Color proposed volume to be run on that machine. This volume reflects the original color volume plus any reassigned or added color volume.
Replaced: This will list the make, model, and IP address of any equipment whose volume has been reassigned to that device by either using the "reassign" option or the "replace" option
Serial #: The serial number of the machine already located at the account's location
Actions
Remove Mapping: If you want to undo any mapping, place a check in the selection box to the left of the model number and click this button. This will remove any mapping that was done with this device and move them back to the top of the screen under Current TCO Equipment, allowing you to start over.
Vol & Location: This option can be used to add/reduce volume on a device or add or change the location or department listed. To change the department or location, highlight the machine in the list and type into the Location and Department fields at the bottom of the form. To add volume to a device, highlight the machine in the list and either increase the mono and color volume by typing in a percentage in the Percent Increase fields, or manually type in the amount of volume you want to add in the Added Volume fields. Click the Close button so save your changes.
Device and Volume Summary
Total Devices Breakdown: Shows how many devices were transferred from the TCO section, and out of the total number of original devices, how many were kept, replaced and how many are left to be allocated. Reassigning volume to a different machine gets put into the ‘replaced’ total.
Total TCO Mono Volume: Reflects the total current situation black and white volume for the entire fleet on machines transferred over from the TCO
TCO - the total mono volume from the TCO tab.
Total TCO Color Volume: Reflects the total current situation color volume for the entire fleet of machines transferred over from the TCO - the total color volume from the TCO tab.
Current Mono Volume: How much of the original black and white volume from TCO that has been allocated as part of the proposed solution.
Current Color Volume: How much of the original Color volume from TCO that has been allocated as part of the proposed solution.
Mono Volume Added: Reflects the total amount of added black and white volume that was entered through the Volume and Location button.
Color Volume Added: Reflects the total amount of added color volume that was entered through the Volume and Location button.
Proposed Mono Volume: Reflects the total amount of current and added Black and white volume under Proposed Solution.
Proposed Color Volume: Reflects the total amount of added and existing Color volume under Proposed Solution.
Volume to be Allocated: Shows the remaining Black and white volume that has yet to be allocated. The goal of this field is to get it down to zero, which means that all volume has been accounted for. If the field is showing as a negative number, that means you are proposing additional volume, or, have added volume using the Volume and Location button. If you have a positive number here, you have not yet allocated all the original volume from the current Situation.
Color Volume to be Allocated: Shows the remaining Color volume that has yet to be allocated. The goal of this field is to get it down to zero, which means that all volume has been accounted for. If the field is showing as a negative number, that means you are proposing additional volume, or, have added volume using the Volume and Location button. If you have a positive number here, you have not yet allocated all the original volume from the current Situation.
Reports
Side by Side: Shows a vertical side-by-side view of the Current Situation vs. the Proposed Solution.
Assets by Type: Summarizes the Original Equipment by equipment type, and then summarizes the Proposed Solution by Existing and New.
Assets by Location: Summarizes the Original Equipment by the original location (pulled from the TCO), and then summarizes the Proposed Solution by location (as entered in to the location field).
