Found under the Tools button of the menu bar on the Reports tab, this feature allows for the configuration and management of scheduled emails of reports. There is just one button on the menu bar for this tool. It is the New Automatic Report button. Clicking it brings up the wizard for creating a new schedule email of a report.
- The first step is to select the library and then the report that you wish to schedule for regular emailing. These are both selected from the available dropdown menus.
- The second step is to write the subject line and message to be placed in the body of the email. You can use the phrase [Report Title] to have MITS Report insert the name of the report you are sending.
- The third step is to determine the recipients of the email. If they are an existing user in MITS Report, you can select them by clicking the Add Report User link. If you wish to add email addresses that are not configured in MITS Report, you can do that by clicking the Add Email Address link. Each of those options will present additional options where you can select the user or enter the email address and also choose the format of the report. Reports sent to MITS Report users will be run and sent using the permissions of that user. For sending to addresses outside of MITS Report, you will be asked to select the user permissions to be used when generating the report.
Click Add to include the user or email address to the list of recipients. Once you do, you can repeat the steps for adding MITS Report users and email addresses until you have included everyone you want to receive this scheduled email.
- Now that the report has been selected and the recipients have been added, the fifth step is to determine a schedule. Just like with adding email addresses, click the Add Schedule link to get the scheduling tool. With that, you can select the frequency and time of day for the report to send out. Click Add to add the schedule to the list of scheduled emails for this report. You can add multiple schedules by clicking Add Schedule again.
There is an option to also have the report send anytime the Source is updated.
Lastly, there are options to allow for setting the email to only go out if a certain number of rows exist in the report. This can be useful for things like exception reports where the report would only be populated in the event of an exception.
